==Planning a Dialogue== There's a couple of things to consider and get together when planning a dialogue. Below I've listed some important things to consider when organizing. Short Preparation Checklist * Make sure to look at the timeline (below) when selecting the date you want to host the event. It's important to have enough time to gather the materials and spread the word. * Create a short (under three pages) research brief on Google docs. * Share the document with Madison. They'll design the final brief that will be uploaded to [[CommunityData:Zenodo|Zenodo]] and shared with attendees prior to the event. (Ideally, the final brief should be no longer than two pages.) * Brainstorm potential guest speakers with PI's based on your research topic. * Send a headshot and short bio to Madison. They'll use these for some of the marketing materials. Connect them with the guest speaker over email as well. Timeline : T-6w: Identify topic, write the 1-paragraph description to share with speaker (and ideally to publish). : T-5w: Reach out to possible external speaker and nail down the date/time. : T-3w: Finalize event description. : T-3w: Finalize invitation lists (e.g., review previous invitee list, add new people). : T-3w (End of week): Send invitations. : T-2w: Finalize the schedule for the sessions (see below for previous scheduling). : T-1w: Send reminders. : T-3d: Finalize handout (if applicable/possible). : T-1d: Send reminder. : T: DIALOGUE! : T+1w: Post videos and blog post, send thank you emails.
